Workday Collective Agreement Notes

Posted 1 year ago

What are collective agreements?

Collective agreements are the result of collective bargaining between employers and unions representing employees. They are usually industry-specific, valid for a fixed period of time, and can be negotiated regionally.

Collective agreements can describe:

  • Minimum pay
  • Notice and probation periods
  • Benefits and allowance plan eligibility
  • Time off and absence eligibility
  • Minimum working hours

What do collective agreements do in Workday?

tl;dr: Tracking workplace conditions and duties of the employer as defined in union negotiations.

They help determine things like:

  • Duration of notice and probation periods
  • Eligibility for compensation components and benefits
  • Time off and absence eligibility
  • Minimum hours or pay

Collective agreements are assigned on the position

Collective agreement related tasks:

  • End or update assignments
  • Report on employees by agreement
  • Implement country or location-specific agreements
  • Assign eligibility rules around collective agreements
  • Schedule collective agreement reviews (2024R1)

Components of a collective agreement

  • There can only be 5 classification factors on a collective agreement
  • Compensation amounts should be configured on steps, not stored in a factor on the collective agreement
  • Restricted by country, location, or eligibility rule.
  • Can have notes, an associated union, or code.
  • Have a start and end date. (Usually leave the end date blank until it ends)

Scheduled review date Process

Schedule collective agreement reviews (2024R1)

  • Review date is specified when assigning a collective agreement
  • Workday automatically generates an Assign Collective Agreement Event when that date is reached.

Configuration questions:

  1. How many collective agreements are there per country, region, and/or company?
  2. What are the eligibility restrictions for the collective agreement?
  3. What factor options should be used and what permutations?
  4. Who will maintain configuration? Who needs view access to collective agreement data?
  5. Who typically assigns, reviews, and approves collective agreements?
  6. What are the cross functional impacts of collective agreements?

Other considerations

  1. Request comp change can be a subprocess of collective agreements. Consider configuring that with the "schedule collective agreement reviews" functionality instead of steps to couple collective agreements with compensation changes.
