Washington SOC code reporting requirements in Workday
A few months ago, I learned that Washington set a law in 2019 requiring employers to report Standard Occupational Classification (SOC) codes starting with the fourth quarter 2022 - yay!
As of writing this post, the state of Washington has a relatively loose definition of "required". WA.gov SOC code reporting required
Q: What happens if you don’t file SOC codes starting with your fourth quarter 2022 tax report?
A: At this time, you will not receive a penalty for incorrect or incomplete SOC code reporting. If you have any questions about how to report SOC codes, just send us an email at socreporting@esd.wa.gov.
So it's not urgent yet, but might be someday and it'll probably be better to get it into Workday sooner than later so that we're compliant on this law and we have one less thing ADP has to bug us about on our quarterly tax reporting. Clicking through wa.gov, I found a few useful links:
- List of all the SOC Codes
- Code lookup tool, type in a job title and it'll rank some suggested codes.
Where in Workday do these go?
These codes look a lot like Worker's Compensation Codes or EEO classifications that are stored in job profiles, but that's not quite right. The codes won't show up on the Quarterly ADP integration if their added to the job profile. I found that Workday expects:
- The codes to be created and configured by each customer using the
Maintain Payroll Reporting Codes
task - The codes to be assigned to each worker with the task
Maintain Payroll Reporting Codes for Worker
task.
There does not appear to be an EIB for creating the codes, but there does seem to be an EIB for assigning the codes to workers after they've been created.
How do I load these?
As always, manual is an option. Alternatively, you can use an EIB named "Imoprt Maintain Payroll Reporting Codes for Workers". You can track down the reference IDs for your codes with the task Integration IDs
filtered on `Payroll Reporting Code'.
EIB Field Reference:
Field: Value description
Header Key 1, 1, 1, ...
Line Key 1, 2, 3, ...
Employee WID or Emloyee_ID
Position optional position ID
Effective Date YYYY-MM-DD
Row ID 1, 1, 1, ...
Payroll Reporting Code From Integration IDs task, likely just the code without '-'
Payroll Reporting Type Code From Integration IDs task, 'WA-OCC' in this case
